Legal Administrative Assistant

The Legal Administrative Assistant will support Ascendion Law’s mission by providing superior, timely services to our clients. The LAA will assist three litigators, keep track of the ongoing status of client files, and build positive and productive working relationships with our team members, clients, and service providers.

The Legal Administrative Assistant will support Ascendion Law’s mission by providing superior, timely services to our clients. The LAA will assist three litigators, keep track of the ongoing status of client files, and build positive and productive working relationships with our team members, clients, and service providers.

Tasks and Responsibilities

Case and Client support

  • Prepare, index, and file court documents, following the rules related to each court
  • Calculate and manage deadlines prescribed by the BC Rules of Court
  • Prepare and coordinate electronic discovery and the production of electronically filed documents
  • Request and manage examination and hearing transcripts, records of proceedings, and minutes of evidence
  • Coordinate and monitor service and delivery of documents
  • Prepare and serve application and trial records
  • Draft correspondence, including emails, letters and faxes
  • Enhance the effectiveness of our litigators by monitoring case progress and alerting the lawyers of issues requiring their attention
  • Build and maintain positive working relationships with our clients, service providers, and opposing counsel
  • Contribute information to the team case review
  • Conclude cases by verifying outstanding balances, preparing settlement documentation, etc.
  • Work with other members of the administration team to coordinate file openings, KYC, and file closings

Office Administration

  • Maintain a bring-forward system to ensure all deadlines are met
  • Take messages and log correspondence
  • Organize clients’ electronic files, including scanning incoming correspondence
  • Updating clients’ files on in-house software program
  • Communicate with clients by email, phone, and in person
  • Arrange couriers to deliver documents for filing on time
  • Book travel and hotel for lawyers and clients
  • Light reception, including answering the main phone line and general email account
  • Other duties as required, consistent with the position

Job requirements

  • Graduate from a legal assistant program or equivalent experience
  • Excellent English communication skills, oral and written
  • Experience with Office 365 and legal practice management software

In a busy litigation practice, the LAA is the in-office face of our firm. Office hours are generally 9:30AM to 4:30PM, but litigation deadlines can necessitate longer days, either in the office or working from home. We offer a 9-day fortnight schedule (i.e. every second Monday or Friday off) to facilitate this flexibility. ‍
